We collect and store personal data for the purpose of providing our services safely, responsibly and in compliance with the applicable regulations.

a) When You Contact Us

Via our Contact Form (powered by WPForms), we may collect:

  • Your name;
  • Your email address;
  • Your phone number;
  • Any message or enquiry you send us.

Purpose: To respond to your enquiry and keep a record of communications.

b) When You Submit a Registration Form

We collect information about you and your dog(s), including:

  • Your name, postal address, email, and phone number;
  • Emergency contact details;
  • Your dog(s)’s name, breed, age, neuter status, microchip number, and vet details;
  • Your dog(s) care routine, behavioural traits, health conditions, diet, allergies and medications if applicable;
  • A copy of your dog(s) vaccination card(s) to keep in our records – the card must be kept updated in our records at all times, so clients must send us an updated copy following each visit to the vet for vaccine boosters);
  • Consents related to care, socialisation, medication, emergency handling, crate use, and media sharing.

Purpose: To keep a record of initial dog care instructions and to comply with our licensing obligations. The information collected helps us to provide safe and responsible care for your dog(s).

c) When You Submit a Vet Release Form

We collect relevant information about you and your dog to be used in the case of illness or emergency, including:

  • Owner and dog basic information;
  • Your dog’s registered veterinary practice;
  • Your dog’s medical information and history;
  • Your consent for Waggy Boops to act on your behalf in the case of illness or emergency with your dog, including:
  • Your consent for us to transport your dog to and from a veterinary clinic or for us to request on-site treament if necessary – we will prioritize seeking veterinary care with Your dog’s regular vet, but reserve the right to seek care with other vet clinics located near to us depending on each situation;
  • Your consent for us to authorize treatments (excluding euthanasia) for your dog on your behalf and as recommended by a veterinary professional.
  • Your consent for the attending veterinarian to examine and treat your dog;
  • Your optional consent for euthanasia in extreme cases and if recommended by a veterinary professional.

Purpose: To authorize veterinary care for your dog in case of illness or emergency during their stay at Waggy Boops. The Vet Release Form also makes it clear that Waggy Boops is released from all liability related to veterinary transportation or treatment provided in good faith, and that you (the client) is responsible for all associated costs related to any veterinary treatment your dog might require while under our care.

d) Website Analytics

We use Independent Analytics and Google Analytics to understand how visitors interact with our website. This may collect pages visited, referral sources, general geographic location, among other website usage data. This data is anonymized and does not identify individual users.

Purpose: To monitor website performance and improve the functionality, usability, content and layout of our website.

3. How We Store and Protect Your Data

Your data is stored securely through trusted digital platforms such as Gmail, Google Drive, Dropbox and Notion. We implement technical and organizational measures to ensure your personal data is protected. Data is retained for as long as you remain a client, or for at least 3 years beginning with the date on which the record was created for recordkeeping and licensing compliance. Only Livia and trusted close family members involved in pet care have access to your data.

4. Sharing of Data

We do not sell or share your personal data for marketing purposes.

Your data may be shared:

  • With a veterinary clinic or veterinarian in the case of an emergency and based on the details provided in your Vet Release Form;
  • With licensing authorities if required for inspection purposes;
  • With your emergency/proxy contact details in the case of emergencies.

  1. Access – You can ask what personal data we hold about you.
